How to fix it

  1. Navigate to Knowledge > Articles > All and search for your article by number or title.
  2. Open the article record and check the State field in the header. If it shows anything other than Published, right-click the header and select Publish.
  3. Still in the article record, check the Valid to field. If it contains a past date, either clear it completely or set it to a future date.
  4. Note the Knowledge base field value, then navigate to Knowledge > Administration > Knowledge Bases.
  5. Open the knowledge base record and verify the State shows Published. If not, publish the knowledge base first.
  6. In the same knowledge base record, scroll to the Can read field. Verify it contains roles that your users have (like itil or sn_knowledge_read) or leave it empty for public access.
  7. Check the article's Language field matches your users' language preferences. If not, either change the article language or create a translation.
  8. If users are searching via Service Portal, navigate to Service Portal > Portals and open your portal record.
  9. Go to the Pages related list, find your knowledge page, and open the page designer.
  10. Click on the KB Search widget and check its Instance options. Look for kb_category or category_filter settings that might exclude your article's category.
  11. Save all changes and wait 2-3 minutes for search indexing to complete.

Test visibility by searching for a unique word from your article title in the Knowledge Base. If it still doesn't appear, check the search index by navigating to Knowledge > Administration > Search Index Status.
